This policy explains how 4K Hoop Pty Ltd (ABN 20 683 179 446) (“4K Hoop”, “we”, “us”) collects, uses, stores and discloses personal information through our website, 4khoop.com.au. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy covers our website only. Information that our customers store in the 4K Hoop POS, online store, trade account and booking software is covered by our customer agreement.
Information we collect
Information you give us. When you fill in a demo, enquiry or contact form, we collect the details you enter. This can include your name, mobile number, email address, business name, type of business, team size or number of locations, the system you use now, your project budget and your message. We also record which page you sent the form from and when.
Information collected automatically. When you visit our website, our web host keeps standard server logs. These include your IP address, browser and device type, the pages you view, and the date and time of your visit.
Cookies and tracking. We may use Google Analytics and the Meta (Facebook) Pixel. These use cookies and similar technologies to record how visitors use our website, such as pages viewed and forms submitted, so we can measure our advertising and improve the site. Our website also loads fonts from Google Fonts, which means your browser connects to Google’s servers.
You don’t have to give us your details. If you don’t, we may not be able to answer your enquiry or arrange a demo.
How we use your information
We use personal information to:
- respond to your enquiry and arrange a demo
- provide a quote or information about our software and services
- set up and support your account if you become a customer
- understand how our website is used and improve it
- measure and improve our advertising
- meet our legal obligations
Marketing
We may send you information about our products and offers if you’ve asked for it or it’s related to your enquiry. We follow the Spam Act 2003 (Cth). Every marketing email or SMS includes a way to unsubscribe, or you can contact us to opt out at any time.
Who we share it with
We don’t sell or rent your personal information. We share it only with service providers who help us run our business, and only as needed:
- Hostinger, our website and email host, which stores form enquiries and our email
- Google, for website fonts and, if used, Google Analytics
- Meta, if we use the Meta Pixel for advertising
- our professional advisers, such as accountants and lawyers
- government bodies, where the law requires it
Information sent overseas
Some of these providers, including Google, Meta and Hostinger, may store or process information outside Australia, including in the United States and Europe. We choose providers that take reasonable steps to protect personal information.
Keeping your information safe
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. Our website uses an encrypted (HTTPS) connection, and access to enquiries is limited to our team. We keep enquiry details for as long as we need them to deal with your enquiry or provide our services, and generally no more than two years if you don’t become a customer. After that we delete them.
Accessing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it. Contact us using the details below. We’ll respond within 30 days.
Complaints
If you’re concerned about how we’ve handled your personal information, contact us first and we’ll try to resolve it. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
